It’s almost inevitable. You booked vendors and signed contracts far in advance – but you didn’t know every detail of your wedding day yet. Like death and taxes, changes are bound to happen.
The important thing is to make sure your key wedding vendors know about these changes, so we’re all on the right page.
Scan the list below. If you’ve booked musicians or a DJ with Backthird Entertainment, these are the things that could change before your wedding day. Do any of them apply to you?
Reception Changes
- Did your start or end times change? If you booked a long time ago, your schedule might have changed. It could increase your cost if your reception actually got longer; otherwise we can usually adjust your schedule for free.
- Did your location change? If you changed your venue, we’d sure love to know.
- Did your room change? If part of your party changed rooms, that could require a different sound setup.
- Do you want uplighting? Many couples include this service when they book music – but it’s easy to add now, as long as we’re still available.
- Should we extend live music? While we can’t ask musicians to work for LESS time than originally contracted, it’s easy to add MORE time – for example, if you decide you’d like your jazz trio to play through dinner as well as cocktail hour.
- Should we add live musicians? If you booked a DJ but want to add live music – or if you want to increase your ensemble size, say from a trio to a quartet – it’s best to let us know as soon as possible. Musician schedules fill up in advance. If they’re not on your contract, you’re not on their calendar.

We’ll reach out to you about 6 weeks before to review your contract, and your DJ or lead musician will review the schedule with you again a few weeks before the wedding. So you need never worry that we’re out of the loop.
Ceremony Changes
- Did your start or end times change? Schedule changes may increase your cost if your ceremony actually got longer since you booked – but that’s pretty rare! Usually we can adjust your schedule for free.
- Did your location change? It’s possible your ceremony moved to a different room or location from what you thought months ago when you first hired us. If so, you might need a ceremony sound system or have other setup concerns you didn’t have then.
- Should we extend live music? If you booked a trio for your ceremony, and want them to stay and play during cocktail hour, that’s an easy change to make.

Cancellations
For whatever reason, wedding celebrations do get cancelled. If you have to cancel, cancel 90 days in advance – you’ll lose your first payment, but no further balance will be due. After the 90-day mark, a cancelled wedding will cost you money. We still pay our artists for these events because it’s usually too late to find them other work.
